Google Workspace has recently introduced a new feature in its platform that enables users to see when you are available through a dedicated page that is meant for bookings. By using this new feature a person can schedule their meetings at the best time possible even with someone who doesn’t have access to a google account. 

However, this new amazing feature is not free, a person needs to have a standard business subscription or a Google Workspace subscription to access this new feature. This new feature was first introduced on google workspace in June 2021. 

Here’s everything that you need to know about this new google workspace appointment booking feature:

How to Use the New Appointment Booking Feature?

To use this new feature you first need to subscribe to at least the Google Workspace’s standard level for the business. The subscription cost is $12.99 as of now. If you already have a google workspace premium account then you can toggle between the new and old versions easily using the tool settings. The old version is named “Appointment Slots” and the new version is named “Appointment Schedule”. The existing meetings (old meetings) that you created using the older version will not be affected by switching to the new version. 

Once your new appointment booking feature is up and running, follow this step-by-step approach to set an appointment:

  1. First off all go to calendar.google.com using your internet browser or tap the google calendar application on your smartphone. 
  2. Now go to settings and then general and then appointment schedules. (Settings > General > Appointment Schedules)
  1. Now turn on the appointment schedules by clicking the box that is next to “Create Appointment Schedules”. In the older version, this box was named “Appointment Slots”.
  2. You can now use this new feature for appointment scheduling and booking.

How to Setup an Appointment using the New Google Workspace Appointment Booking Feature?

For other people to book your calendar you first need to Subscribe to Google Workspace as this is a premium feature. Once you have subscribed to google workspace, follow these steps to book an appointment:

  1. Go to calendar.google.com using your internet browser or tap the google calendar application on your smartphone. 
  2. Click “Create” which will be visible at the top left corner of your screen 
  3. After clicking “create” a new window will appear. In the new window click “Appointment Schedule”
  4. Create a title for your appointment. We recommend creating a title that exactly describes the purpose of your appointment. Remember that meeting titles are visible to everyone who has access to your booking page.
  5. Now set the duration of your appointment. The total duration of a meeting can not be less than 15 minutes. 
  6. After the tile and duration are set, now set the date of your appointment. You can either set a recurring appointment with the same schedule or create a one-time appointment.
  7. To set up how early a person can book your calendar appointment go to “Scheduling Window” and click the down arrow. The minimum time option is 12 hours and the maximum time option for booking an appointment is 60 days. From the drop-down list, you can fix the booking time to one-day, 2-day, 12 hours, or 60 days as you like. Learn more about How To Customize Your Appointment Availability.  
  8. If you have missed any important details you can edit your appointment schedule. You can change the location of the meeting, your picture and many more after the appointment is set. Click save after you have edited your appointment schedule. 

How to Set the Appointment Location using the New Google Appointment Booking Feature?

You can let your guests or clients know the place of appointment by setting it using the new google calendar feature, here is how you can do it:

  1. Go to your appointment that you have set up and then click Next which appears at the bottom right of your screen.
  2. Go to “Location and Conferencing” and then choose a location from the drop-down list. You can select one of these options that include.
    i: Google Meet Video conference
    ii: Face to face or in-person meeting
    iii: Phone call meeting
    iv: To be specified later  
  3. If you want to have a face to face meeting then you should set the appointment and then edit the appointment and add the link to the location. You can do the same if you want an online video meeting and you don’t want to use google meet for that video conference.

How to set Appointment Reminders While Using the New Google Appointment Feature

To set email reminders for meetings follow this step by step approach:

  1. Go to the meeting that you have already scheduled and click “Next” which appears on the bottom right corner of your screen.
  2. Click the Down arrow that reads “Booking Confirmations and Reminders”
  3. Below “Email Reminder” click the drop-down menu
  4. Now you can choose when you want the email reminders to be sent to the appointment attendees. You can set the timer to 30 minutes, 1 hour before or any other time that suits you. 
  5. Click Save to save the reminder after you are done setting up the email reminder time for the appointment. 
  6. Remember that you can set unlimited reminders for appointments, however, you cant edit the text inside the reminders.
